Privacy policy
Effective date: 24 October 2026
Callwright is a service run by Intellibyte Software Solutions LLC ("Intellibyte", "we", "us"), 150 Peabody Pl, Lower Level, Memphis, TN 38103. It answers missed calls for businesses, our "client companies", and gives their staff a callback queue, alerts and texting. This policy explains what we collect, why, who we share it with and the choices you have.
Who this covers
- Staff and field teams of our client companies who use the Callwright apps. We decide how this information is used.
- People who call or text a client company that uses Callwright. We handle their information for that client company, following its instructions. The client company's own privacy policy also applies; for example, Brimhall's is on brimhallhvac.com.
- Visitors to this website. The site has no analytics, no cookies and no forms, so we collect nothing beyond the standard server logs our hosting provider keeps for security.
What we collect
| From | What | Why |
|---|---|---|
| Staff and field teams | Name, mobile number, role and company; sign-in records; devices registered for app notifications | To sign you in, send codes and alerts, and show you your company's work |
| Staff and field teams | Texts and calls you make through the app, and the outcomes you record | To run callbacks and keep the customer's history for your company |
| Callers | Phone number, name, address, the reason for the call, the recording and transcript of the call with Amy, the virtual assistant, and the details it captures | To create a request for the client company, judge how urgent it is and alert its staff |
| Callers who text | Messages, photos and their delivery status, and whether you agreed to texts | To carry the conversation between you and the client company |
| Everyone who gets texts | The phone number, the wording you agreed to, when and how you agreed, and any STOP or START reply | To prove consent and honor opt-outs |
We don't sell personal information, and we don't use it for advertising.
Text messages
Callwright texts sign-in codes and alerts from its toll-free number to staff and field teams, and alerts to the number each client company chooses, only after the person agrees. Client companies text their customers from their own numbers, only after the customer agrees.
- Message frequency varies: a sign-in code each time you sign in, and alerts when a request needs attention.
- Msg & data rates may apply.
- Reply HELP for help, or contact us at [email protected].
- Reply STOP to opt out at any time; reply START to opt back in. We also accept other clear requests, such as "cancel" or "unsubscribe", by text or email.
- Alert texts aren't required: without them, you get alerts as app notifications. You sign in with a code texted to your phone, sent only when you ask for one. If you've opted out, reply START before asking for a code.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
The service providers listed below that deliver texts (Twilio and the mobile carriers) receive phone numbers and message content only to deliver them.
Who we share information with
Service providers that run Callwright for us, under contracts that limit them to that work:
| Provider | What it does |
|---|---|
| Twilio | Phone calls and text messages |
| Retell AI | Amy, the virtual assistant: answers calls, records and transcribes them |
| Microsoft Azure | File storage, and the AI models that help judge urgency (prompts and outputs aren't used for training) |
| Neon | The database |
| Railway | Hosting for the apps and services |
| New Relic | Monitoring and error tracking (no transcripts or addresses) |
| Geocodio | Checking whether an address is in the service area, and its driving distance |
| Apple, Google and Mozilla push services | Delivering app notifications |
At a client company's direction, we also send its callers' details and call summaries to the client company's own tools, such as its HubSpot account, where the client company's policy applies.
We may also disclose information when the law requires it, to protect someone's safety, or as part of a sale or merger of our business, which would remain bound by this policy.
How long we keep it
- Call recordings and transcripts: 365 days, then deleted from our systems and Retell's.
- Requests, messages and callback records: while the client company uses Callwright, then deleted within 90 days of its leaving, unless it asks for an export.
- Consent records and opt-outs: four years after the last text, as proof of consent.
- Staff accounts: removed the day the client company removes the user; sign-in records are kept for 12 months for security.
- Backups roll off within 30 days.
Security
Data is encrypted in transit and at rest. Each client company's data is kept separate in the database, staff see only their own company's data, and recordings and transcripts need a sign-in and the right role. Intellibyte staff can open client data only through a logged support path.
Your choices and rights
- Staff and field teams can see and correct their details in the app or ask an admin at their company.
- Callers should contact the client company they called. We'll help the client company answer.
- Anyone can ask us at [email protected] to access, correct or delete their information, or opt out of texts. We answer within 30 days and may need to confirm who you are. Depending on where you live, state law may give you more rights; we honor them as the law requires.
Children
Callwright is for businesses and isn't directed to children under 13. We don't knowingly collect their information.
Changes
We'll post any change here with a new effective date, keep earlier versions at /privacy/ followed by their effective date, and tell staff in the app before a material change takes effect.
